Assign Numbers to Personas
Once you have created a persona in Phound, the next step is making sure it has the right phone number attached to it. This guide covers how to assign, reassign, and manage numbers across your personas.

Understanding Numbers and Personas
At its core, the relationship between numbers and personas in Phound follows a simple rule: every phone number belongs to exactly one persona at a time. This is the foundation of the separation that makes personas useful. When someone calls or texts a particular number, Phound knows which persona to route that communication to, and it appears in that persona's inbox and only that persona's inbox.
Here is what that means in practice:
- Incoming calls and texts are routed to the persona that owns the number.
- Outgoing calls and texts display the caller ID of the persona you are currently using.
- Voicemail greetings are tied to the persona, not the number, so the caller hears the right greeting for the identity they are trying to reach.
Tip: Think of a phone number as a door and the persona as the room behind it. Each door leads to one room. If you move the door, the room it leads to changes, but the door itself stays the same to anyone knocking on it.
How to Assign a Number to a Persona
Assigning During Persona Creation
The easiest time to assign a number is when you first create a persona. The setup wizard includes a step where you either pick a new number or choose an existing unassigned number from your account. For the full walkthrough, see Step 4 in the persona creation guide.
Assigning a Number After Creation
If you created a persona without a number, or if you want to add a second number to an existing persona, follow these steps:
- Open the Phound app and switch to the persona you want to modify by tapping its icon in the persona switcher bar.
- Tap the gear icon to open Persona Settings.
- Select Phone Numbers from the settings menu.
- Tap Add Number.
- Choose from the available options:
- Get a New Number — Browse and select a new local or toll-free number.
- Assign an Existing Number — Pick from numbers in your account that are not currently attached to any persona.
- Confirm your selection. The number is now linked to this persona and will start receiving calls and texts immediately.
Reassigning a Number Between Personas
There are times when you might want to move a phone number from one persona to another. Perhaps you are consolidating personas, rebranding a side project, or shutting down a role that no longer needs its own identity. Phound makes this straightforward.
- Open Persona Settings for the persona that currently owns the number.
- Go to Phone Numbers.
- Tap the number you want to move and select Reassign Number.
- Phound will display a list of your other personas. Select the persona you want to move the number to.
- Confirm the reassignment.
Warning: Reassigning a number takes effect immediately. Any ongoing calls on that number will not be interrupted, but all new incoming calls and texts will route to the new persona from the moment you confirm. Make sure you are ready for the switch before tapping confirm.
After reassignment, the conversation history for that number stays with the original persona as an archive. The new persona starts with a clean inbox for that number. If you need to access old conversations, switch back to the original persona and look in the archived threads.
One Number Per Persona vs. Multiple Numbers
Phound supports two configurations depending on your needs and plan:
Single Number Per Persona
This is the most common setup and the one Phound recommends for most users. Each persona gets one phone number, keeping things simple and easy to manage. When the phone rings, you know exactly which persona and which number it is for.
Multiple Numbers on One Persona
Some situations call for a persona to hold more than one number. For example:
- A business persona might have both a local number for nearby customers and a toll-free number for national reach.
- A freelancer might keep an old project number on the same persona as a new one during a transition period.
- A team might route multiple departmental numbers to a single shared persona.
To add a second number, follow the same steps as assigning a number after creation. Phound will show all numbers attached to the persona in the Phone Numbers section, and you can set one as the default outgoing number — this is the number that appears on caller ID when you make outgoing calls or send texts from that persona.
Tip: If a persona has multiple numbers, you can choose which number to use on a per-message or per-call basis. Before dialing or sending a text, tap the small number selector next to the compose field to pick the outgoing number for that specific conversation.
Setting the Default Persona for Outgoing Communication
If you have multiple personas, you will want to make sure you are always sending from the right one. Phound helps with this in several ways:
- Active persona indicator. The persona switcher bar at the top of the app highlights the currently active persona. All outgoing calls and texts go through this persona unless you manually override.
- Per-conversation persona. Once a conversation is started under a particular persona, replies within that thread automatically use the same persona.
- Quick switch. Tap a different persona icon in the switcher bar before starting a new call or message to switch your outgoing identity.
You can also set a default persona that Phound falls back to when you open the app fresh or when no specific context applies:
- Go to Settings > General > Default Persona.
- Select the persona you want as your default.
- Tap Save.
Tip: Set your most frequently used persona as the default. This saves you a tap every time you open Phound, and it reduces the chance of accidentally calling or texting from the wrong identity.
Managing Numbers You No Longer Need
If a persona's phone number is no longer needed, you have two options:
- Reassign it to another persona (recommended). The number stays in your account and you can use it elsewhere. Follow the reassignment steps outlined above.
- Release it back to the carrier pool. This is permanent. Once released, the number may be given to someone else and you will not be able to reclaim it.
To release a number:
- Open Persona Settings > Phone Numbers.
- Tap the number you want to release.
- Select Release Number.
- Confirm the action.
Warning: Releasing a phone number cannot be undone. If there is any chance you might want the number in the future, reassign it to another persona or keep it on a placeholder persona instead. Review Managing Your Phone Numbers for more detail on number lifecycle management.
Troubleshooting Common Issues
My number is not receiving calls or texts. Verify that the number is properly assigned to the persona and that the persona is not in Do Not Disturb mode. See Customizing Notifications for DND settings.
Caller ID shows the wrong name. Caller ID name (CNAM) updates can take up to 72 hours to propagate across carrier networks after you change a persona's name. If it has been longer than that, contact support.
I cannot assign a number — it says it is already in use. Every number must belong to one persona at a time. Check your other personas to see which one currently owns the number, then reassign it from that persona's settings.
